MeritDocs is used by SENCOs to keep pupil support documents in one place and to turn recorded evidence into a structured draft. The aim is narrow: the version of a plan a teacher opens on a Tuesday morning should be the one that is actually in force, and finding it should take seconds.

The workflow below is what the product does today. The professional judgement in the document is still yours.

The workflow, in order

Six jobs that take up most of the week. This is the route through them.

  1. Find the current record

    Open the pupil and see what exists: the plan in force, the imported reports, the notes staff have added and when the last review happened. No hunting through a shared drive, no asking a colleague who has the latest version.

  2. Draft from what you already hold

    Bring the recorded evidence into a structured draft. It comes back in the sections school documents use, with target suggestions attached to it. You are editing a draft rather than facing a blank page at half past five.

  3. Keep the targets yours

    Suggested targets are a starting point and nothing more. Keep the ones that describe this child, rewrite the ones that describe the provision, and delete the rest. A target that would read the same for three pupils in the same year group is not a target.

  4. Make the review date visible

    Each document carries its review date, and the register can be filtered by it, so the cycle is something you can look at rather than something you have to remember. Version history records what changed at the review and when.

  5. Share only as far as it needs to go

    Assessments, external reports, parent contributions and staff notes sit with the plan under the same pupil. Access is set by role and down to an individual document, so a class teacher can have the plan they teach from without the whole background file.

  6. Hand over without losing the detail

    When a teacher, a teaching assistant or you move on, the record is the handover. What was tried, what changed, who approved it and what falls next are already written down. Export as Word, plain text or a print-ready PDF for a meeting, a parent or a receiving school.

What it will not do for you

It will not decide who belongs on the SEND register, choose your provision or judge whether a target is right for a child. It will not chase your colleagues either. There are no automated review reminders today: the review date sits in the record and in the filter, and it is not pushed at anyone.

It does not sync with your MIS yet. Document import and pupil-data import are live now, and MIS connections through Wonde are planned and marked as planned. If live MIS sync is the thing that decides your purchase, that is worth knowing before a demo rather than after one.

Who can see this?
Only the staff an administrator has given access to, at the level they were given. Views, edits, approvals, imports and prints are recorded with the person, the time and the address, and we provide your organisation's log on request.
Can we get it out again?
Any document exports as Word, plain text or a print-ready PDF whenever you want it. If your school leaves, your data is deleted in full.
Where does the data live?
In the UK and EU. Records are encrypted before they are stored, drafting runs in the EU under zero-retention terms, and pupil data is never used to train a model.

Before you commit an evening to a trial

A short trial only tells you something if you make it resemble a real week.

  • Take a pupil whose paperwork is currently a mess, not a tidy example.
  • Import an old scanned plan and look carefully at what did not map cleanly.
  • Draft from evidence you would actually have to hand in September, not evidence you wish you had.
  • Ask a class teacher to find that pupil's current plan without your help.
  • Export the finished document and hold it against what your local area expects to receive.
