MeritDocs is a browser-based platform that school SEND teams use to draft, store, review and share pupil support documents. Staff bring in the evidence the school already holds, MeritDocs returns a structured draft written in the terminology school documents actually use, and a member of staff checks and approves it before it counts as anything.

It supports the workflow around a decision. It does not make statutory decisions, and it does not replace professional judgement.

What MeritDocs does today

Structured drafting
Staff draft SEN Support Plans and PMLD plans from information the school has already recorded. The structure follows the sections and terminology of real school documents rather than a generic statement bank, and every line stays editable.
Documents Hub
Plans, imported files and staff notes sit under the pupil they belong to, so finding the current record does not depend on knowing which shared drive it landed in.
Import of what you already have
PDFs, Word files and images are read and mapped into the closest matching sections as a best fit. Your SEND register can be uploaded as a spreadsheet and matched on UPN. Staff review the mapping before anything is adopted.
Review dates you can see
Documents carry their review date, and the register can be filtered by pupil, document type and when a review falls.
Roles and access
Administrators decide who sees what, down to an individual document. Staff sign in with the school's Google Workspace account, and two-factor authentication can be required across the whole school.
An auditable record
Sign-ins, views, edits, approvals, imports and prints are recorded with the person, the time and the address. Failed attempts are recorded too. We provide your organisation's log whenever you ask for it.
Export and version history
Any document can be exported as Word, plain text or a print-ready PDF, at any time. Every document keeps its version history, so a later reader can see what changed.

Where the pupil data sits

SEND records are the most sensitive data a school holds. These are the answers your data protection lead will ask for first.

Encrypted before it is stored
Every pupil identity and document body is encrypted with its own key before it is written to the database, so it cannot be read out of our database by anyone outside your organisation, including us.
Held in the UK and EU
Pupil data is stored and processed here. Drafting runs inside the EU.
Zero retention on drafting
What your staff write is used to produce the document and then discarded. Pupil data is never used to train a model.

How we protect pupil data

What MeritDocs does not do

MeritDocs does not decide whether a pupil has special educational needs, does not issue or amend an EHC plan, and does not tell a school whether it has met a duty. Those decisions belong to the school, the local authority and the professionals advising on the case.

AI assists the drafting. A member of staff reads the draft, corrects it and approves it. A plan nobody has read is not a plan, whatever produced it.

What to check before you buy

These are the questions worth putting to any supplier in this market, including us. Ask for the answer in writing.

  • Where pupil data is stored and processed, and whether AI drafting runs under zero-retention terms.
  • Whether access can be scoped to the staff working with a pupil, rather than everyone with a login.
  • What is recorded when someone views, edits, approves or prints a record, and how you get that log.
  • Whether your existing plans can be imported, and who checks the mapping before it is adopted.
  • What an export actually contains, and what happens to your data if you leave.
  • Which connections are live today and which are still on the roadmap.
  • What the licence covers, and what changes the price.

A supplier that cannot make its data flows legible enough for your DPO to assess is not ready to hold this category of record, whatever the feature list says.
